Booking terms and house rules
These terms apply to every Tehvandi Villa booking. By confirming a booking you confirm that you have read and accepted these terms.
These terms govern the short-term rental of Tehvandi Villa for leisure purposes. The lessor is Potivabriku OÜ (hereinafter the Villa), and the guests are the person who made the booking together with their entire party (hereinafter the Guest).
1. Booking
- Tehvandi Villa is rented out as a whole only - individual rooms are not booked separately.
- The maximum number of guests is 19. A larger party must be agreed in writing with the Villa in advance.
- The minimum length of a booking is 1 night.
- A booking is considered confirmed once payment has been received in full to the Villa's bank account.
- The person who made the booking (the booker) is responsible for the booking and must be at least 18 years old with full legal capacity.
2. Payment terms
- To confirm a booking, 100% of the booking price must be paid after completing the booking form, by bank link (Swedbank, SEB, LHV, Coop Pank, Luminor).
- On request, payment by invoice is also possible - in that case select the corresponding option in the booking form and the Villa will issue an invoice to the booker's email. The invoice must be paid within 3 working days, otherwise the booking is automatically cancelled.
- The price includes: use of the entire villa for the agreed period, bed linen, towels, WiFi, parking, sauna and lounge.
- The price does not include: additional services (e.g. catering on request) and damages caused by intentional or negligent behaviour.
3. Cancellation policy
The Guest may cancel the booking at any time by sending a written notice by email. The refund depends on when the cancellation reaches the Villa relative to the arrival date:
- More than 28 days before arrival - 100% of the paid sum is refunded.
- 14-28 days before arrival - 50% of the paid sum is refunded.
- Less than 14 days before arrival - no refund is made, but the Guest has the right to choose a new arrival date from available dates within 12 months, subject to availability. This right may be used once.
The refund is made within 14 working days of receipt of the written cancellation notice, to the same bank account from which the payment was received.
4. Arrival and departure
- Check-in: from 15:00.
- Check-out: by 12:00.
- Different arrival or departure times may be agreed if available dates allow.
- Keys/access code are sent by the Villa to the Guest on arrival day in writing.
- At departure the Villa must be left in the condition it was found in: dishes washed, rubbish taken to the outside bin, furniture in place. Normal tidiness does not incur an extra fee, but in case of unreasonably uncleaned premises the Villa is entitled to charge an additional cleaning fee of up to €150.
5. Liability and damages
- The Guest is fully responsible for any damage caused by them or their party to the Villa, its furnishings or grounds.
- If damage occurs, the Guest must inform the Villa without delay (email or telephone).
- Minor unintentional damage (e.g. a broken dish, a stain on a rug) is settled in good faith - the Villa issues an invoice for the actual damage, payable within 14 days.
- Significant damage (e.g. broken furniture, damaged appliances, water or fire damage, damage to the facade or interior finishes) is reimbursed by the Guest to the extent of the repair or replacement cost. The Villa provides cost documentation (repair invoice, replacement purchase price, etc.).
- For intentionally caused damage the Villa may, in addition to the actual loss, claim a reasonable penalty and report the incident to the police.
- For bookings where the Villa assesses an elevated risk of damage (e.g. large parties, birthdays), the Villa may request a security deposit of up to €300 in cash or by card on arrival. The deposit is returned on departure if no damage has occurred.
- The Villa is not liable for the loss of or damage to the Guest's personal belongings, except where caused by the Villa's fault.
6. House rules
- Smoking is prohibited indoors. Smoking is allowed only outdoors, using the designated ashtray.
- Pets are allowed only by prior written agreement.
- Quiet hours apply from 23:00 to 07:00 - please be considerate of the neighbours.
- Fire safety: follow the posted instructions when using the sauna; do not leave open flames (candles, fire pit) unattended.
- Sauna: keep flammable items away from the stove; before leaving, make sure the stove is switched off and no heat-sensitive items are left in the room.
- Furniture rearrangement and removing furnishings from the rooms they belong to is not allowed.
- The Guest is responsible for the conduct of all members of their party (including children) during their stay at the Villa.
7. Force majeure
If the Villa cannot fulfil its obligations under the contract due to force majeure (natural disaster, hostilities, official restrictions, large-scale power or water outage, etc.), the Villa will notify the Guest as soon as possible. In such a case the full paid sum is refunded or, with the Guest's consent, the booking is moved to an available date. The Villa is not liable for any indirect damage caused by force majeure (e.g. travel costs, a cancelled event).
8. Personal data
The Villa collects and processes the Guest's personal data (name, email, phone, payment data) solely for the purpose of fulfilling the booking, for accounting and for compliance with statutory obligations. Data is retained for a maximum of 7 years in accordance with Estonian accounting law. Data is not transferred to third parties, except to the payment service provider (bank links) and where required by law. The Guest is entitled to access their data and request its correction or deletion - please contact us by email.
9. Disputes
All disputes between the Villa and the Guest are resolved by negotiation. If no agreement is reached, the dispute is resolved by Tartu County Court under the law of the Republic of Estonia. In consumer matters the Guest also has the right to refer to the Consumer Disputes Committee (komisjon.ee).
10. Final provisions
- These terms are valid from 20 May 2026.
- The Villa may amend the terms - amendments do not affect bookings already confirmed.
- Should any provision be found invalid, the remaining provisions remain in force.
- The Estonian-language version of the terms is authoritative; translations into other languages are for reference only.
